Active and past weeding projects

2023 Plan Overview

Objective

The Libraries must withdraw some materials and move others in order to ensure that sufficient collections space is available for projected acquisition over the coming years; immediate activities focus on a five year plan; with ongoing reviews and updates targetting a fifteen year plan in place.

Impetus

The Libraries need space to ensure room for approximately 5,000 to 6,000 new print volumes per year for five years, or between 25,000 to 30,000 books and bound journals.  The approximate number of 7 shelf bookcases to accommodate this number of books is between 100 to 150, with additional space to move materials.  

At present, the book shelves in Howe Library are approximately 85% full, with most areas overcrowded and gaps in some areas that are not growing. If all of the books were dispersed with an optimal shelving layout for browsing and shelving, it would occupy 113% of the available space. We need to make enough room to house the books we currently have appropriately and have space to add the expected new ones.

Future Factors

  • We are building lasting relationships with external partners that can provide reliable access to lower-need materials, and thus allow us to withdraw them.
  • We plan to join retention programs that will obligate us to keep specific items.
  • We will continue to purchase backfiles as possible and clear more shelves.

2023 Weeding Plan FAQ

Books

The book collections are not a primary target in this project, but some reduction will be achieved by continuation of paused past weeding projects and routine weeding practices. Some serials are also shelved in the book collection but will be considered using serial criteria.

Canadian Government Documents

  • UVM Libraries is no longer a depository library for Canadian Government Documents; Canada shifted all of its publications online in 2012. We have a large number of Canadian government documents in Howe and the circulating collection in the LRA that are now out of scope or are fully digitized, though there are many we will keep (i.e., VT relevant topics, environmental topics, histories, Abenaki focus, etc.)

State or Provincial Government Documents; excluding Vermont, bordering areas, and topics of key interest

  • UVM has a number of scattered sets of government documents from various states; other states have responsibility for retaining these

Duplicates

  • Duplicate volumes will be withdrawn if older than five years, not regularly kept on reserve, and circulation numbers or other factors do not warrant keeping two

Textbook Older Editions

  • We will retain the most recent edition and one edition back if it is less than ten years old or shows circulation; earlier or older editions will be withdrawn (unless identified as of continued value). These were only purchased for active course use or if the best/only reference for a topic

Obsolete Materials

  • Materials with time limited value or past-purchased materials that would today be excluded. 
  • Examples:  Assorted Fodor travel guides, various long-outdated directories (unless identified as of continued value), obsolete technical guidelines, software manuals, etc.­

Misplaced Excluded Serials

  • Scattered single or short-run journal or annual report titles that are shelved as books
  • These are excluded by policy and will be removed unless they show circulation

Dana Health Sciences Library

  • Duplicates, outdated textbooks, outdated and superseded clinical books

Reference Collection

The Reference collection may undergo weeding for specific items identified as part of the other ongoing weeding activities, or as Liaison Librarians identify the need. 

These activities may be concurrent with the other weed, but are not part of the same project.

Serials & Journals

The bound serial volumes in Howe and the LRA are the major targets in this project.

Step 1

Space needs projection and space measurements 

Step 2

Create weeding lists 

  • Criteria: Serials with optimal online duplication
    • Owned perpetual access from a publisher with participation in a trustworthy preservation program
    • Owned perpetual access via JSTOR
    • Open Access from a reliable publisher, professional association, or the HathiTrust
  • Criteria: Scattered volume serials excluded by CD Policy
    • 1-3 volumes or scattered volumes 
    • Many of these are shelved in the book stacks
  • Additional Factor : high-return backfile purchases
    • Quotes for available backfile purchases with a) greatest number of print removed from shelves and b) highest usage/attempted usage from UVM IP ranges
      • FY2023 : limited budget available will be matched with May 2023 purchase
      • Future : goal of additional JSTOR/SAGE/etc backfile segment purchases
        • Remove additional volumes from shelves each year
        • Redu­­ce annual cost of JSTOR subscription due to its pricing model

Step 3­

  • Review holdings for already confirmed weeding targets and withdraw them - ongoing
    • Annual JSTOR weed: newly duplicated volumes for titles already confirmed
    • Stray volumes and previously confirmed weeding targets
      • Dana volumes
      • Scattered orphan volumes or short incomplete runs

Step 4

  • Perform quality review of all new target titles - ongoing
    • Review each title for a) digital quality and b) completeness
      • If the digital version is missing content, make a note of this in the catalog record and remove it from the current withdrawal list
        • If a supplement series has not been digitized, retain the supplements but withdraw the rest
      • If the figures or photos have some fuzziness or there are other minor image quality problems, we will attempt to retain its print unless its digital version(s) have very low usage over three years
        • We will prioritize keeping titles in this category that are not opted into at least two journal retention programs for all volumes.
      • If the figures or photos are unreadable or missing, we will retain the print

Step 5

  • Determine faculty choice retentions
    • Share the lists of titles with faculty and librarians to determine a very short list of any that should be retained despite the online edition
      • The default will be withdrawal
  • Identify all titles to be removed in 2023

Step 6

  • Withdraw serial titles from Library Research Annex and Howe Library
  • Withdrawn serials will be offered to and sent to other libraries if desired, but the default will be removal. UVM faculty may also take a withdrawn journal run, so long as they are able to come retrieve it by a set time.  Otherwise, it will be recycled. Very few libraries want print serials, so recycling is the likely end.

Step 7

  • Move any serial titles from Howe to the LRA that can be; retain serials without online access or with high image content (arts, imaging, cellular biology, etc.) in Howe as possible
  • Move select number of serials in the LRA to Howe

­Step 8

  • Shift Serials in Howe to allow expansion of books

Step 9

  • Shift books, etc to fill the opened space in Howe based upon expected collections growth by call number range

Related New Purchases

New Backfile Purchases 2023

The Libraries purchased a number of individual and collection backfiles in May and June 2023 to include in this project. We chose them using these factors:

  • Number of print volumes they replace
  • Indicators of demand
    • Large number of failed attempts to access electronic version from UVM's IP range
    • ILL activity
    • High usage of current electronic subscription
    • Relevance to UVM research interests
  • Added value
    • New volumes or titles that we do not currently have in any form
    • Perpetual access to electronic versions from reliable sources
    • Cost per title value
    • Future cost reduction for other JSTOR resources
